Printing or exporting the member directory

On the Families page, the printer icon next to the settings gear opens a printable member directory in a new tab. Each household shows its family name, up to two adults with their phone and email, the address, and the children with their grades. A family is never split across two printed pages.

The bar at the top of that tab doesn’t print. It has a Print / Save as PDF button, Show photos (photos start hidden), and Download CSV for the same list as a spreadsheet. Next to Show you choose between two versions:

  • What members see is where it starts. It has only the contact details your Families view settings show to members, and it leaves out the same households the members’ Families page leaves out. Use this one for a directory you hand to families.
  • Everything admins see includes every contact detail, the same as your own Families page. It is marked as an admin copy. Keep it with your admin team.

Withdrawn families aren’t in either version. Allergies, medical notes, emergency contacts and balances are never included.

Note: The printer icon shows for owners and for admins who have the Manage members or Manage families permission, the same people who see full contact details on the Families page.

Looking up a student

Admin › Students is the student-by-student counterpart to the Families page: one flat list of every child across every active family, with their grade, their household, and the classes they are in for the term you have selected. It includes children who aren’t enrolled in anything, which the Emergency Roster cannot show you because that one is built from class rosters. Those are usually the children you are looking for when something has been missed.

Each row also shows the child’s age, counted from the birthdate on file against your co-op’s own calendar day. A child with no birthdate recorded shows a dash there, the same as grade already does.

Search by student name, family name, grade, or class. The filters narrow to a grade, an age range (under 5, 5 to 8, 9 to 12, 13 to 17, 18 and up, or no age on file), a single class, students not enrolled in anything, or students with an allergy, medical note, or dietary restriction on file. A row of counts across the top does the same in one click. The sort menu orders the list by age as well as by grade, and Download CSV exports whatever the current term’s list contains.

Changing what a student is enrolled in

Click a student’s name to open their own page, which lists the classes they hold for the selected term. Remove next to a class takes them out of it, and Add to a class underneath puts them into another one: choose the class and press Add. A mid-term swap happens in one place rather than a trip through two rosters. Adding a student here doesn't bill the family unless you tick Charge the class fee.

Removing a class here does not refund anything. If money changed hands and needs to go back, unenroll from the class roster instead, where you are offered the refund at the same time.

Support profiles

Settings › Families › Support profiles adds an optional profile a parent can fill in for each child, describing how that child participates best: movement and sensory needs, transitions, how they take in instructions, what helps when they’re overwhelmed, what motivates them, and an open “Learning & participation” note for anything else an instructor should know. It’s off until you turn it on, and nobody is ever required to fill one in.

With it on, applicants are also asked on your public join form. Each child there gets a Support & accommodations question offering three answers: no additional details, add details now, or a preference to discuss it with the coordinator. Details given there become that child’s support profile when you approve the application, and a request to discuss it is flagged for you on the application itself so somebody follows up.

With it on, a shared profile shows on the Roster tab of the class in Teaching, behind a Support profile badge next to the student’s name. Only the teachers of classes that child is currently enrolled in can open it, plus you and your other admins. A class assistant doesn’t see it, and neither does a teacher who can view every roster but doesn’t teach that class. Other families never see it, and it stays out of the directory and every export. If you turn the setting back off, the profiles stop being shown to anyone.

It earns its keep at a co-op teaching learners with a range of support needs, where the alternative is each parent repeating the same briefing to every new teacher. Families read their side of it in the Academic Progress guide.

Reaching a group of families at once

Bulk selection lives on the Families page, not on Admin › Members. That page manages roles and permissions one person at a time. To reach a specific group of families:

Note: The Families page shows every family on one page by default when your co-op has 150 families or fewer. Past that, it falls back to 25 per page to keep the list fast. Either way, a Show control at the bottom lets you switch between 10, 25, 50, or All.
1Go to Families in the sidebar.
2Open the “…” options menu and choose Select to message. Checkboxes appear on each family.
3Check the families you want to reach. Use the search box above the list to narrow it down first if you’re picking from a large roster. It matches the household name, either parent’s name, or a child’s name, so you can find a family by the kid you know rather than the adult you don’t, and it is forgiving about spelling and word order. When a family turns up because of a parent or a child, that name is shown underneath so you can see why. There are also filter dropdowns beside it. Everyone gets Grade, which matches a household if any of its children is in that grade. Admins also get Status (activated, or still waiting on a parent to sign in), Registration (the fee paid or still outstanding), Classes (enrolled, or not enrolled yet), and Flags: a medical note or allergy, a dietary restriction, an upcoming birthday, no students on file, or a staff household. Any of your own questions you have marked filterable gets a dropdown of its own, and for most question types that includes a Not answered choice, which is how you find the households that skipped it. Each active filter shows as a chip you can remove individually, or clear all at once. A dropdown, or a single choice within one, is only offered when at least one family would match it, so the controls you see depend on your own roster. A co-op that charges no registration fee never sees Registration, and Classes stays hidden until families start enrolling.
4Click Email selected (or Text selected, if SMS is enabled on your plan).
Note: This opens the Announcements (or Texting) composer with a Selected families audience already filled in. It’s not a private message. Those families see it exactly like any other announcement or text, just scoped to the group you picked instead of your whole co-op. See the Announcements & Email Blasts guide for the full flow.

For charging a group of families the same amount (semester dues, a late fee), use the Bulk invoice button on Admin › Billing instead; it charges every family in the co-op the same amount in one step and skips anyone already charged the same description this term.
