Class updates

A class update is an email a teacher sends to the parents of the students enrolled in their own class — what to bring this week, a room change, a reminder before a field trip. Replies go straight back to the teacher. The feature is off until an owner or admin turns it on.

What class updates do

A teacher writes a subject and a message, chooses which of their classes it goes to, and it is emailed to the parents of every enrolled student. Before sending, they see how many families it will actually reach.

The point is to take admins out of the middle. Without this, a teacher who needs to tell families something has to ask an owner or admin to send it for them, which is slow for the teacher and extra work for the co-op.

Note: A class update is one-way and goes out by email. It is different from Message class, which is a conversation thread inside the app. Use an update when families need to know something before the next class; use the thread for back-and-forth.

Turning it on

Class updates are off until an owner or admin turns them on, and turning them on affects only your co-op. Owners and admins can already email families, so this setting is about what your teachers may do on their own.

1Go to Admin → Settings and open the Programs area.
2Scroll to the Teacher permissions card.
3Tick Email the families in their own classes, then click Save.

Every teacher-role member can then send updates for the classes they are assigned to, and only those. If you turn it off later, the tab disappears and no further updates can be sent; updates already sent stay in your log.

Sending an update (teachers)

1Go to Teaching and open one of your classes.
2Click the Updates tab.
3Under Send to, tick every class this should go to. The class you opened is already ticked.
4Write a subject and a message, then click Send update.

If you teach several sections of the same subject, send once and tick all of them. A parent with two children in two of the ticked sections still receives a single email, not one per child.

Tip: The Send to row lists every class you teach this term, not only the ones in the subject you opened. If you teach both Book Club and Math, check the ticks before sending so a Book Club supply note doesn't reach your Math families.

Reading the reach line

Above the send button is a line like Will reach 18 of 18 families (24 people). It updates as you change which classes are ticked, and it is worth a glance every time.

  • The first number is families with at least one parent email address on file. The second is families with a student enrolled in the ticked classes.
  • The number in brackets is individual email addresses, so a family with two parents listed counts once as a family and twice as people.
  • If the two family numbers differ, the families who will not receive it are named underneath. That usually means no email address on file, which an admin can add from the family's record.

Only students who are enrolled count. Waitlisted families are not included, since an update about what to bring does not apply to someone without a seat. A family that has been withdrawn from the co-op is left out too, even if one of its students is still enrolled in the class, and isn't counted in either number.

What families receive

An email from your co-op, with the teacher's name and the class it concerns. Replying goes to the teacher directly rather than to the co-op's inbox.

Parents who use the dashboard or the mobile app also see the update on the class page under Updates from your teacher, and get a notification. Nobody has to have an account for the email itself to arrive.

What admins can see

Every update teachers send is listed under Admin → Communications → Class Updates: who sent it, which classes it went to, the message itself, and how many people received it.

The log is read-only. There is no approval step before a teacher can send, and no way to edit or delete an update after the fact — email cannot be recalled once it has gone out. Visibility is the control, which is why the setting is off until you choose to turn it on.

How a parent turns them off

Every class update has a Turn off class updates link in the footer. It stops class updates for that address only, and does not affect your co-op's announcements or any other email you send.

The same footer also offers Notification settings, which opens the parent's profile where they can control app and push notifications separately, and an unsubscribe link that stops all co-op email. The narrow option is listed first on purpose, so a parent quieting one teacher's emails does not accidentally cut themselves off from your closure notices.

Note: A parent who turns off class-update emails still sees updates in the app and still receives everything else you send. If they later change their mind, the link in the confirmation page turns them back on.
