Co-op jobs

If parents work during co-op, families can sign up for a job while they register. You confirm each sign-up, then check which adults still have a free period.

What co-op jobs do

A job is something an adult does for a whole term. It can be helping in a class, or something else your co-op runs, like hall monitor or nursery. Volunteer shifts are different: they're for specific dates. See the volunteer guide for those.

Turning it on

Co-op jobs are off until you turn them on. On your Admin Dashboard, click Co-op Jobs under Classes & Schedule, then click Turn on co-op jobs.

Families don't see anything yet. Co-op Jobs appears in their sidebar once a term that's open to them has a job.

To stop using it, click Turn off at the top of the Co-op Jobs page. Families can't see the jobs or sign up while it's off. Your jobs and sign-ups are saved, and confirmed class helpers stay on their classes as assistants.

Adding jobs

1Open Co-op Jobs and enter how many helpers each class needs. Families see a class's helper job once the class is published and has at least one spot.
2Under Other jobs, click Add a job for anything that isn't a class. Give it a name and a number of spots, and choose the periods it covers. Leave the periods blank for a job with no set time.

What families do

Families open Co-op Jobs from their sidebar, from the prompt at the top of the Class Catalog, or from the prompt after they check out for classes. The page shows each adult in the household by period, marks a period Free when one of their children has class then and that adult has no job, and lists the open jobs. Jobs during their children's classes come first.

A parent can sign up any adult in their household, including one with no login. A family has to finish confirming their information for the term first, the same as for enrolling in classes. If the adult already has something at that time, the page says so and asks before signing them up. They can withdraw a request until you confirm it. After that, they'll need to ask you to change it.

Sign-ups open with registration. Until a registration window has opened for a family, they can read the jobs but not sign up, so nobody takes a spot ahead of an invite-only or later window. Once registration has opened, sign-ups stay open after the window closes. A term with no registration windows opens to sign-ups once a child is enrolled in it.

Confirming sign-ups

New sign-ups appear at the top of the Co-op Jobs page and under Needs your attention on your admin home. Click Confirm or Decline, or Confirm all when several are waiting. A sign-up that clashes with something the adult already has at that time is marked, and Confirm all leaves it for you to decide.

Every adult in that household with a login is told by notification, push and email, unless they've turned those off. That goes for confirming, declining, adding, removing, deleting a job and cancelling a class. You get a notification for each new sign-up, and one email until the waiting list is cleared.

Cancelling a class takes its helpers off the job and off the class. If you restore the class, families can sign up again or you can add them back.

Confirming a class helper makes them that class's assistant. Assistants can take attendance and see the class roster, including allergy and medical notes, which is why you confirm each one. See class assistants for what else they can and can't do.

Note: A helper with no login can be confirmed and fills the spot, but can't see the roster or take attendance. A parent can invite them from My Profile, under Household Members. Once they have a login, Give class access appears on Co-op Jobs and under Needs your attention. Check it's the right person, then click it to make them the class's assistant.

Someone you add as an assistant on the class page fills a helper spot too. Removing a helper on either page takes them off both.

Adding someone yourself

You can put any adult on a job without waiting for them to sign up, including one with no login. Click Add someone under a job, or Add to a job beside an adult on the Coverage tab. Adults who are free then, and jobs when they're free, are listed first. They're confirmed right away, and their family is told.

The same rules apply as when you confirm a sign-up: a class helper with a login becomes the class's assistant, and you'll see a warning if they already have something at that time.

Checking coverage

The Coverage tab lists every family's adults against the term's periods, including adults with no login. A period is Free for an adult when one of their children has class then and that adult has no job. It's uncovered when nobody in the family has a job then. Start with uncovered: a spouse who doesn't come to co-op shows as Free even when the other parent is working. Use the filters to see families with an uncovered period, adults with free periods, adults with no job, or morning, afternoon or all-day families. Download CSV saves whatever the filters are showing.

Tip: Morning, afternoon and all day come from the classes each family's children are enrolled in. A period that starts before noon counts as morning. Families with no enrollments are listed as No classes.

Next term

When you copy a term with its classes, its jobs and helper spots come along, but not who signed up. Helpers from the old term aren't copied with the teachers either, so they sign up again. To switch terms, use the Term menu at the top of Co-op Jobs.
