Reports & analytics
The Reports hub
Go to Admin → Reports. The hub shows a term switcher at the top and a summary strip — total classes, total enrollments, total charged, and outstanding balance for whichever term is selected — each with a trend badge comparing it to the previous term where there's data to compare against.
Below the summary strip are cards linking to the deeper views: Financial reports, Trends, Enrollment, Volunteer credits, Delinquency, and the Report builder.
Teacher assignments sits alongside them: every teacher with the classes they hold, how many students, and their hours per week and across the term, plus a CSV of the same thing. A class with two teachers counts in full for each of them and names the other, since neither is doing half the work. A member who holds the Teacher role but has not been given a class yet appears with nothing assigned, which is the list worth reading in the week before a term starts.
Adult credentials joins them once your co-op has defined at least one kind of certification to track. It lists every adult against what they are required to hold, pulls out anyone lapsed or expiring soon, and downloads as a CSV. Setting those up is covered in Adult certifications and renewals.
Enrollment & volunteer credits
Enrollment shows fill rates and capacity for the selected term, class by class. Volunteer credits lists every family's credits earned this term against the per-family requirement, plus shifts they've signed up for but not yet worked. Each family is marked Met, On track, Short, or Exempt. A family earns a shift's credit when the work is completed, not when they sign up. Financial reports covers three things, all on one page:
Outstanding balance aging
Every family with a balance due, across all terms, bucketed by how long it's been open (0–30, 31–60, 61–90, and 90+ days), shown on screen as bucket totals and a per-family table, with a downloadable CSV. The CSV goes further than the on-screen table: a family whose whole balance is covered by a bank (ACH) payment that's still settling shows in its own Processing bucket instead of an age bucket, since that money is on the way rather than overdue, and it includes a Method column so you can see how each family has been paying.
Payment timeline
A chart of cumulative charged vs. collected amounts for the selected term. The gap between the two lines is what's still owed for that term.
Teacher payouts & 1099
A year-switchable summary of what each teacher was paid in a calendar year, flagging anyone who's crossed the 1099-NEC reporting threshold. This mirrors the Teacher Payouts CSV export.
Delinquency report
Delinquency tracks who owes the current term’s required join fee, separate from families who simply haven’t started their term-start review yet. It only has something to show when the active term has a join fee set to required.
It splits families into two lists. Owes is families who’ve started the term — a required join-fee charge is already on their account — but haven’t paid it. Lapsed is families who haven’t engaged with the term at all yet, so they don’t owe anything until they do. A Withdraw action sits next to each family in the Owes list for when it’s time to remove someone who isn’t going to pay.
Trends across terms
Trends looks across your co-op's history instead of one term at a time. It charts enrollment fill rate by term, revenue (charged vs. collected) by term, volunteer shift completion rate by term, cumulative household growth over the last 12 months, and an application funnel showing how many submitted applications were reviewed, and how many of those were approved.
The custom report builder
Report builder lets you build your own export instead of using one of the fixed reports above. Pick a dataset — Families, Enrollments, Charges, Attendance, or Volunteers — choose which columns to include, apply filters (term, status, or a date range, depending on the dataset), and the results appear in a table on screen. The screen preview caps at 200 rows for readability; the Download CSV button always exports every matching row.
Treasurer exports & full data backup
The bottom of the Reports hub has a Treasurer reports card covering three reports: a billing summary for the current term (per-family charges, payments, credits, refunds, and balance), the outstanding balance aging report, and the current year's teacher payouts summary. Each one offers a View link to read it on screen and a Download CSV link if you want to work with the numbers in a spreadsheet. A CSV is a plain text file, so it opens free in Google Sheets, Numbers, or LibreOffice; Excel isn't required.
The billing summary's View / print link opens the full, per-family breakdown as a readable page you can print or save as a PDF straight from your browser, no spreadsheet app needed. The same link sits on the Admin › Billing page, next to the CSV download, so you can reach it without a trip to Reports.
Both the billing summary and the aging report include a Method column and a Processing amount, so a family paying by bank transfer isn't counted as behind while their payment is still settling. It shows separately instead of adding to what they appear to owe.
Owners (and admins with the View reports permission) also see a Data export card there, with a Download ZIP backup button that exports everything else — roster, classes, payments, attendance, volunteer hours, and more — in one file.
